If you represent a company and you have many clients, you might already have a register of all those clients, and you might even know the email address of them. Wouldn't it be great to send some regular news to your clients, informing them about new offers, new services, anything. This is a way to bind you customers/clients, and to bring new products or services to their attention, and can even encourage them to buy something of you. There is a very simple way to do that professionaly.
In the system Inventory, there is contact management, where you can manage all your clients. For each contact you can define many details, as well as an email address. The contact list can even be feeded by your own website, so that contacts can update their own details.
Here on the right side you can see how you manage your contacts. There is a list, that you can filter on specific words, categories. You can click on any row to edit the details, or click on the button on the bottom to add a new contact.
The contact list can become a very big list, so you can even choose to organise it further using properties. You can make your own properties, attach them with values to contacts, and you can filter your list on the properties with advanced criteria.
The contact list is online, which means that you can access it from anywhere. You can also define other users that can access this same list, and you can define what exactly other user can do with that list (read, edit and/or delete).
In the knowledgebase of Inventory, you can create items, and those items contain a title and contents. The title can be anything you like to stay organised. You can see on the right the list of items, which contains in this example only one, but you can imagine a list of many items. All items will be there as long as you keep them, also after sending. You can create as many items as you like, and editing an item is done by simply clicking on one. You can also search for a specific word or select a specific category, which immediately shows only the relevant items.
The contents of an item (that you can see in the screenshot on the right) is what you will send to your clients. An item can have additional layout, and contain even pictures. You can also work together (but not simultaneously) with other users on the same content. Editing is really simple, and you can add images, tables. There is also an advanced mode to edit in HTML, for advanced users.
To allow for more filtering options, you can choose a specific default form for each item. Each form is a list of properties that you can define (optionally). You can specify the values for each property to make searching easier. You can use it for example to store the date, or editor of the item.
With the option send (right-clicking on the item that you created, a context menu appears, with the option send), a preview will be displayed. The preview shows you how your content will be send, and this can be in additional layout, specific for your company. This way can have additional logo, header and footer, special font, colors and even references to external content. On the same screen you will have a list of contacts that you can select (with a button to select all). Then with one click, you can send the items to all your clients.
